AI Academy

Privacy Policy

Last updated: 27 September 2026

AI Academy is provided by B.S.O.E LTD (company number 08938266), trading as the British School of Outdoor Education ("we", "us"). This policy explains what information the AI Academy app and website collect, why, and your choices. We keep it short and specific.

Who can use AI Academy

AI Academy is for learners aged 13 and over, including the AI Academy for Teens (ages 13–18) and our professional AI courses. You sign in with a Microsoft account in our AI Academy directory: your school, employer or programme may give you one, or you can create one in the app or when you subscribe on our website — we email you a link to set it up. Courses are available with the AI Academy All Access subscription or through an organisation that has arranged access for you (see our Terms of Use).

What we collect and why

InformationWhy we use it
Your name and account email (from your Microsoft sign-in)To show your profile, choose the courses available to you, and print your name on certificates.
Your account IDTo save your progress and certificates to your account so they sync between your phone and the web.
Lessons you completeTo show your progress and issue certificates when you finish a course.
Questions you ask the AI Tutor, AI Notes or the Command Center (teens), and the learning path you choose there (curriculum, class, subject, topic)To generate an answer. Your question is sent to our backend and to a Microsoft Azure AI model to produce the reply.
What you type into the Student Success Hub and Business Marketing Hub tools, and any assignment brief you choose to upload (PDF, image or text)To produce the result you asked for. Your answers and any brief are sent from our backend to Anthropic's AI service, which may search the public web to find current sources, listings and links. We don't store your answers, briefs or results; they are used only to create your result.
Your answers to lesson exercises, knowledge checks and assessmentsTo save your work so you can return to it on any device, show your results, and let your tutor review assessments you submit.
What you write to an in-lesson AI partner (for example a reflection partner, role-play customer or assessment reviewer)To generate its reply. Your messages, and the saved answers the partner is designed to use, are sent to our backend and to a Microsoft Azure AI model. We don't store these conversations.
Your email address, if you create an account in the app or on our websiteTo send you the link to set up your AI Academy sign-in, and to contact you about your account.
Your subscription record: which plan you have, the store you bought it from (App Store, Google Play or our website), its transaction ID, status and renewal or expiry dateTo unlock AI Academy for your account and keep access in step with renewals, cancellations and refunds. Apple and Google (or our website's payment provider) process the payment itself; we never see or store your card or bank details.
Certificates you earnSo that you, and anyone you share the certificate link with, can verify it.

Voice input

If you ask the AI Tutor a question by voice, your device's speech recognition (Apple on iPhone, Google on Android) turns it into text. We receive only the text, never the audio recording.

What we don't do

Where your data is stored

Your data is stored in Microsoft Azure data centres in Sweden (EU). AI answers are generated by Microsoft Azure AI services and, for the hub tools, by Anthropic. Neither uses your questions to train their models.

Certificate verification

Each certificate has a unique ID. Anyone with that ID can see the learner name, course title, and issue date on our verification page, so they can confirm it is genuine. Only share your certificate link with people you want to see it.

How long we keep it

We keep your progress and certificates while your account is active, so you can continue learning and prove your achievements. When you delete your account in the app (Menu → Account → Delete account), when your account is removed by your programme, or if you ask us, we delete your account, progress and AI Academy data. We keep subscription and transaction records only as long as needed for accounting and legal purposes. We may keep certificate records so that previously issued certificates can still be verified, unless you ask us to remove them.

Your choices and rights

You can ask us for a copy of your data, to correct it, or to delete it, by emailing john@bsoedu.org. If you are under 18, a parent or guardian can also contact us on your behalf.

Changes

If we change this policy, we will update the date at the top of this page.
